Primary Schools

  • How do I change a student's login details if a student cannot log in?
    Log in to the app as a teacher, find their account in the All Students view, click Actions then Change Student Password. Here you can change the password then SAVE the changes. If a student can not remember their username, find them in the All Students view to see their username.
  • I entered a student's name wrong when setting up an account, how do I change this?
    To change a student’s name, find them in the app and select them, click Actions then Change Student Password. Here you can change the students name and SAVE .
  • How do we set up login details for all of our students?
    Accounts can be created by pupils themselves or can be set up by teachers, depending on how much help you want to give them.    A pupil can create their own username and password by going to the student page which was sent in your onboarding email. They can click the Sign up link and fill in the account creation details.   For a teacher to add a student, enter the app, click Actions, click Add student, enter the details including creating a username and password and SAVE. You must then let the student know their username and password so that they can login. Each time a teacher creates an account they can write down each student’s username and password, for example onto a sticker or post-it note. These can then be handed out in class and the students will have responsibility for keeping their login details. If the student forgets their password, you are able to easily change their password.

Secondary Schools

  • Information flow specifications
    BeWorldClass is a cloud web app with a cloud database, and we have a secure role-based user account system that determines who is able to access different types of information on the database. This means that information can not be shared between schools and can not be shared between students within the same school.

    World Class Schools

    We record the name of the school and the full name and email address for our primary contact to facilitate our onboarding email. This generates a link that students can use to create an account and a secure sign-up link for our primary contact to create a password to access their school's app.

    Teachers

    The first user receives the onboarding email, creates their account through the link, and is given the "Teachers" role and the "Teachers Management" role.
    Users of the teachers side of the app have two types of roles. A user of the teacher's side can have one or both of these roles.
    • Teachers - Access to view and modify students information and submissions
    • Teachers Management. Access to view and modify teachers accounts, and create new teacher accounts. Access to modify the roles of other teachers accounts.
    So for example, if a user has the Teachers Management role but not the Teachers role, they are unable to access any students data.

    Students 

    Students sign up through the school's unique app link using email and password. Signing up through this link means that only users with the teacher's role of that particular school can access their information and submissions.
     
    Students are able to access their own information (name, year group, email address etc) and they can access their own submissions. Students can not access other students data or any teachers data.
    Students complete their work by submitting text and files to the database that can only be accessed by teachers of their school. On a submission, there is information that students have access to edit, and information that teachers are able to edit. Both roles can view both types of information on the submission. The submission can be sent back and forth between teacher and student.
    • Student role - Access to add text and files to the submission
    • Teacher role - Access to add teacher notes and marking the area as complete and incomplete.
    Students are also able to download their submissions as a PDF portfolio. In this case, the information is downloaded onto the device they are using the app on.

    Email Notifications

    When a teacher marks a submission, an email notification is sent to the student. If the student replies to the notification, the message can be seen in the app by users with the Teacher Role.
  • A student has entered their name or email address wrong, how do we change this?
    Each student is responsible for the login details of their own account. To change the name or email address, the student must log in to their account, click the name on the top right, click My Profile, then make any changes to their profile and SAVE. 
  • How long should students be given to complete the areas?
    It depends on how the school integrates the app use into its curriculum.  There are eight to ten characteristics per area.  Given this, one model could be that a student takes a year to complete all areas.  However, as a school, you might want each year group to focus on one area per year. If schools want to move from subscription to accreditation, we would expect the school to be using the app to develop their students' World Class characteristics for approximately a school year, but we are open to negotiation.  
  • What should we do if a student can not log in to their account?
    • First check that the student is not entering the wrong password. They should go to the app homepage and click the forgotten password button.  They enter their email address and receive an email to change their password
    • If the student does not receive the email, a teacher should log in to the World Class schools app to check that they are on the list in the All Students view. If they are not on the list the student has not created their account yet.
    • If they are on the All Students list, check that the email address is correct. If it is not correct, the student should try logging in with the email address that you can see in the teacher app, then the student can change their email address to the correct email one logged in.

All Schools

  • A student has submitted an area by mistake, how do I let them continue?
    If a student has submitted by mistake and you want to allow them to continue, you should mark their area as incomplete. To do this, log in to your teacher account and go into the World Class Schools section. Find their submission in the Review view, click on it, go to actions and send feedback. You can then scroll to the bottom and mark the area as incomplete. The student can then continue with the area.
  • When I try to test the student link, it says “Previewing form” and some things don’t work.
    If the student home page says “previewing form” this means that the app has opened in preview mode. This happens if you are signed in as a teacher while you open the student page. Preview mode lets you see what the page looks like while not logged in, but any actions within the app will do nothing, for example secondary schools can not sign up as a student while also signed in as a teacher. To take the page off preview mode, either sign out of your teacher account or open the student link in a new incognito window.
  • When a student tries to log in to the app, they are seeing the wrong page.
    They may be accessing the app home page rather than your school’s page. Make sure they follow the correct link for students to log in. After logging out, a student must go back to the school link to access the app again.
  • I am trying to add a teacher into our school but their email address is already in use
    Please contact us and we will add them to the school for you.
  • How do students find the app home page for our school?
    Every school using the World Class Schools app is given their own link for students to access the app. When your school is set up in the app you are emailed your unique link for the students. Secondary school students go to this page to create their accounts. We recommend putting the link somewhere where students can find it easily. This could be on your school website or in your school's learning system for example on Moodle.
  • If a student's details are wrong, how do I change them?
    To change a student's class/tutor group or gender, select them in the app then scroll down to the details tab. Click EDIT ENTRY, make the changes, then SAVE CHANGES.
  • What do I do if I have forgotten my teacher password?
    Go to app.worldclass-schools.org/login then click the forgotten password button. Enter your email address then click RESET MY PASSWORD. You will be sent an email with a link to change your password.
  • How do I change my teacher profile and login details?
    When you are logged into your account, click your name on the top right of the screen, then click My Profile. Here you can change your Name and your email address. You must enter your password and click SAVE for the changes to take effect. To change your password, click your Name then select Change Password. Enter your old password and your new password then click SAVE
  • Why am I not receiving emails from the app?
    The most common reason for not receiving emails from the app, for example your initial account invite email, is that your school email system may be blocking the emails. It is important to whitelist all emails from @worldclass-schools.org to ensure all students and teachers can receive emails.
